Reservation Procedures

Reservation Deposit

A Reservation Deposit is required to reserve any and all properties. This payment includes the $35 Booking Fee and the Refundable Cleaning/Damage Deposit, each property has a different Deposit amount.

 Reservation Balance Due

The Rental Fee and Taxes are due no later than 60 days prior to your arrival date.

 Taxes

All reservations will be subject to 10.55% or 5.55% taxes, depending on the location of the vacation property. All tax amounts are factored into the final payment amount on your rental lease and are subject to change.

Refundable Cleaning/Damage Deposit

Guests pay a Refundable Cleaning/Damage Deposit upon booking a reservation. Release of the Deposit will be subject to inspection of the rental property. The Deposit will be refunded approximately fourteen days after departure, provided there are no damage or additional charges.

If the property has been left in poor condition, we reserve the right to withhold all or part of the cleaning/damage deposit. Our housekeeping staff will report conditions to our management team. We will supply pictures for you to review.

In the event of damage to the property, its equipment, furniture, or carpeting, the Guest will be responsible for damage costs exceeding the security deposit, including collection costs and attorney’s fees. Documentation detailing damages and charges will be provided to the Guest.

All of our properties are NON SMOKING. If we find that there has been smoking in the property an air quality fine of up to $500 will be charged to the departing Guest.

Cancellation Policy

Cancellations Occurring More than 60 Days Before Arrival:

The $35 Booking Fee is non-refundable. An additional deduction of $50.00 will be taken from the Cleaning/Damage Deposit.

Cancellations Occurring Less than 60 Days Before Arrival:

The Booking Fee is non-refundable. The Cleaning/Damage Deposit will be forfeited. In addition, the Rental Fee and Taxes will be forfeited, unless we are able to re-reserve the vacation property for the same dates.

Travel Protection Insurance

 We are now offering Travel Guard– Please ask our staff for more information.

Rental Restrictions

Renter must be 25 years of age to reserve a vacation property. We do not allow Sororities, Fraternities, Weddings or Receptions, Spring Break Parties, or any other such groups unless previously approved at the time of reservation. If approved, an additional security deposit and extra cleaning fees may apply. Misrepresentation could result in eviction.

Maximum Occupancy

Each property has a specific maximum occupancy. Please take note of the maximum occupancy allowed in the vacation properties before making your reservation. This maximum occupancy includes all members in the party regardless of age. Exceeding the maximum occupancy may incur additional fees and in some cases eviction with forfeiture of all paid monies.

Pet Friendly

Dogs only are allowed in designated Pet-Friendly Homes only. NO EXCEPTIONS. Pets are limited to one domestic, housebroken dog. There is a non-refundable $10 per day Pet Fee. In addition, there is a $150 Refundable Pet Cleaning/Damage Deposit. Please inform the reservationist at the time of booking your reservation. Any violation with pets in a non-pet home will be cause for additional fees charged.

Wi-Fi

Most of our vacation homes provide Wi-Fi. Passwords and additional information are provided in the Visitor’s Binder in each vacation property.

Vacation Property Information

All vacation properties are professionally cleaned prior to your arrival.

Our vacation properties have kitchens equipped by the owners. Individual homeowners provide all bedding and towels. Please do not remove any of the bedding, towels, dishes, kitchen items or furniture from the home.

All homes are equipped with:
·         Coffee maker
·         Toaster
·         Blender
·         Pots and pans
·         Cooking utensils
·         Dishes
·         Flatware
·         Glasses
·         Vacuum (most homes)
·         Washer/dryer (most homes)

All vacation properties are privately owned and equipped for basic vacation needs. Range Property Management will provide basic starter supplies such as soap, toilet paper, trash bags, and paper towels. We do not guarantee laundry supplies, cleaning supplies or condiments.

Housekeeping is not provided during your stay. We can arrange for this service – for an additional fee. Most guests prefer not to be disturbed.

Grocery stores are very close. You will be able to purchase supplies as needed during your visit.

What you may need to bring or purchase in town:

·         Toilet paper
·         Hand/bath soap
·         Garbage Bags
·         Paper towels
·         Aluminum foil
·         Plastic wraps/bags
·         Staple Items (salt, pepper, sugar, etc.)
·         Condiments
·         Dish detergent
·         Laundry soap/fabric softener

A Gift Bag and Water Bottle are provided for your use while visiting and to take home when you depart.

Maintenance problems in the vacation property will be handled in a timely and professional manner. Please let us know immediately upon arrival of any issues with the property.

Check in and Checkout Procedures

Check in

Before you leave your home, make certain you have all emails containing the address, map, directions, and Lock Box instructions for your vacation home.

You may arrive at your vacation home by 3:00 pm. Upon arrival in Estes Park, go directly to the vacation home, using the map, directions, and address provided to you by email. You will use the Lock Box Code to open the Lock Box or a code for the Keyless Entry Locks. Remove the key(s). Use this key during your stay, or please keep the code with you at all times to access the property.

Check Out

Check out is no later than 10:00 am. Please return the key(s) you’ve been using to the Lock Box, if it’s a Keyless Lock, press 123456*.  This will alert housekeeping that you have departed.

Check Out Procedures are provided in the Visitor’s Binder provided in each vacation property.

Act of God

Acts of God (fire, flood, weather) will occur from time to time. If this occurs during your stay with us we apologize in advance for any inconvenience to you and your family. If an Act of God occurs before you arrive, we will work with you to be fair about changing your reservation date, changing your reservation accommodations, cancellation or refunds.
